7 Reasons for refusal of Visa

   

1. Processing time of Visa 

It takes usually six (06) working days including the date of submission. Please make sure to apply in advance to avoid any inconvenience. In addition there are some cases which may take longer processing period depending on the individual circumstances.


   

2. Validity of Visa 

Visas are only valid for entering Japan on one occasion. The period of validity of the single-entry visa is three months from the day of issuance. The validity period cannot be extended.


   

3. Submission of the documents / How to submit the documents 


    (1) All documents must be arranged according to the specified requirements. Documents not arranged according to the requirements may not be   
          accepted.
    (2) The required documents are only for accepting the visa applications and they do not qualify automatically for the issuance of visa. There are
          some cases where applications are rejected even though all required documents are in order.
    (3) Additional documents may be requested by a Visa Officer subsequently. Applicants are given three months to submit additional documents,
          otherwise the application process will be terminated.
    (4) All documents submitted by the applicants must be genuine. Applicants submitting forged documents or giving false/incorrect information in 
          the application form will be considered permanently ineligible for obtaining a visa to Japan.
    (5) All documents once submitted cannot be returned. Original documents, required to be returned (for example National ID card, Birth
          Certificate, Marriage Certificate, Bank statement of deposit balance, etc.) , has to be forwarded with copies taken into A4 sized paper.
    (6) All documents including application form should be submitted without staples or pasting pages to each other.
    (7) If a number of applicants are traveling together for a same purpose and same schedule, please submit the documents of the groups together to
          the Embassy.

   

4. Details of required documents 


  (1) Visa Application Form
Please use the prescribed Visa Application Form.
Each applicant should fill in a separate application form, including child applicants.
Application form should be typed or legibly hand written in block letters.
It must provide accurate details in English for each column. If there is no corresponding answer to the items mentioned such as the case of criminal history, please write “None” or “NIL”.

   (2) Photo
Photo attached to the application form must be taken within the last six months.
Specs of photo: 4.5cm x 3.5cm with white background
Photo must be pasted on the application form.
Application will not be accepted if the photo does not suit the above requirements and if printed on ordinary copy paper.

  (3) Passport
Applicants should present a valid passport together with previous cancelled passports.
Broken/damaged Passport is not accepted, especially lamination page of the personal identification.
Passport must have at least two blank pages.
There is no special provision for remaining period of validity of the passport, but it should cover the period from entering to Japan until departing from Japan, according to the travel schedule.
 

  (4) National Identity Card
All Visa applicants are requested to present the original National Identity Card together with its A4 sized photocopy and a certified English translation of the same . Therefore, please check whether the National Identity Card is legible and clear. The National Identity Card which is illegible, badly discoloured and damaged will not be accepted. To avoid any inconvenience, visa applicants are requested to check the condition of their own National Identity Cards, and if it is not in an acceptable condition, please obtain a new Identity card from the Registration of Persons Department. In case of lost NIC, obtain a new Identity card before submission.
 
  (5) Birth Certificate
  All Visa applicants should present the original Birth Certificate together with its A4 sized photocopy, a certified English translation of the same and an affidavit declaring that they have not changed their original name. In case of lost BC, obtain a certified true copy from the relevant Divisional Secretariat.
 
  (6) Marriage Certificate
  If applicants are married, they should present the original marriage certificate together with its A4 sized photocopy and a certified English translation of the same. In case of lost MC, obtain a certified true copy from the relevant Divisional Secretariat.
 
  (7) Bank statement of deposit balance
  Applicants should present the original bank statement for the last six months together with its A4 sized photocopy. It must be issued within three months from the time of application.
 
  (8) Letter of Guarantee
  It must be original one with official seal. We do not accept any copy or scanned letters.
  If the guarantor is a foreign national, following documents are required additionally. A copy of both sides of the valid Residence Card, a Certificate of Residence (with all matters listed except for Individual Number(“My Number”) and Resident Record Code), and A copy of his/her passport (including the pages of status items, records of entry/departure, and permission of residence)
 
   (9) Letter of reason for invitation
  It must be original one with official seal. We do not accept any copy or scanned invitations.
 
  (10) List of visa applicants
  If more than one applicant is traveling to Japan, the list of visa applicants must be submitted additionally.

  (11) Overview of Company/Organization (Income certificate, Tax payment certificate/receipt, the incorporation register of Japanese company)
  These certificate/ receipt/registration prepared by the guarantor must be original and latest one at the time of application. When an individual is extending an invitation, submit the “Certificate of Employment” in lieu of a copy of the incorporation register of Japanese company.
 
  (12) Schedule of Stay
  Details of itinerary should be submitted together with return confirmations of airline ticket traveling to/from Japan and also hotel reservation for staying in Japan.
 
  (13) Certificates of Employment
  Certificates of Employment are required if applicants are working here in Sri Lanka, especially in case of business purposes. It must be original one with official seal.
 
  (14) School Certificates
 If applicant is a student, a letter from the school principal or head of the institution is required regardless of the category of visa.
Applicants traveling as a student visa category should present their original GCE ordinary level and advanced level results issued by the school principal, together with its A4 sized photocopy.
 
  (15) Japanese family register/ Certificate of Residence
  Applicants visiting Japanese relatives should present Japanese family register issued by the Japanese local government within three months from the time of application. Those documents must be described for his/ her family relationship with all family members.
 
  (16) Certificate of Eligibility
  The Certificate of Eligibility issued by the Immigration Bureau of Japan must be submitted when the applicant performs remunerative work (professor, journalist, researcher, engineer etc.) in Japan or/and when the applicant stay over 90 days (student, trainee, etc.) in Japan.

   

5. Visa Fees 

  1. Please check consular fees and pay by individual applicant on delivery
  2. Child applicants travelling on parents’ passports will also be charged individually.
  3. Applicants are advised to tender the exact amount for visa fee.

    

6. Interview 

 Applicants may be subject to an interview at the discretion of the Embassy.

   

7. Reasons for refusal of Visa 

When visa is not granted, the reasons of denial will not be disclosed. Applicants may apply again after six (6) months with the same purpose, unless there are emergency / humanitarian reasons, or application for a different purpose.
